We are seeking a proactive and detail-oriented
Administrative Specialist
to join SparkLabs Taiwan, a dynamic part of the global SparkLabs accelerator network. Since our establishment in 2018, we have accelerated over 60 startups, and we are looking for an individual who can support our company's operations, contribute to an efficient working environment, and facilitate the operations of our accelerator program.

A short brief on your role:

As an Administrative Specialist, you will be a key team member responsible for maintaining operational efficiency and ensuring the smooth execution of our accelerator program. Your responsibilities will include providing administrative support, managing workspaces, and facilitating program coordination. You will also play a role in organizing events, handling logistics, and contributing to team culture.

Responsibilities:

Office Management

  • Streamline office operations to enhance efficiency and create a conducive work environment.
  • Manage office equipment & supplies inventory and order new ones as needed
  • Liaise with the co-working space management and attend monthly meetings
  • Greet visitors, answer phone calls, and take messages
  • Organize and execute company events, including logistics, decoration, and coordination of special gifts.
  • Oversee full-cycle recruitment processes, from talent sourcing to onboarding, contributing to team growth.

Program & Event Coordination

  • Assist in planning, organizing, and executing SparkLabs Taiwan's accelerator program activities, including workshops, mentorship sessions, and Demo Day.
  • Coordinate logistics for program-related events, meetings, and networking sessions.

Requirements:

  • At least 1 year of experience in an administrative, program coordination, or executive assistant role.
  • Strong organizational and time management skills with the ability to handle multiple tasks and priorities.
  • Proficiency in Microsoft Office and G Suite applications.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Excellent verbal and written communication skills in both Chinese and English.

Preferred (not required, but good to have):

  • Familiarity with the startup ecosystem, venture capital, or accelerator programs.
  • Ability to thrive in a fast-paced, high-growth, and collaborative environment.
  • Experience with event planning and logistics.
  • Understanding of basic financial processes such as reimbursements and bookkeeping.
