Role Purpose
To provide essential coordination and logistical support to ensure the seamless operation of teaching activities, encompassing service delivery for B2C (business-to-consumer), B2B (business-to-business), B2G (business to government), and B2I (business-to-individual) sectors. The Operations Assistant collaborates with recruitment teams to enhance the quality and efficiency of teacher and young learner assistant hires, while also developing and delivering training programs for young learner assistants.
This critical role entails overseeing various operational activities related to back-office systems, resources, recruitment, inventory, event management, facilities, safeguarding, and health & safety compliance at teaching centers and offsite locations. The job requires the individual to work across teaching centers in Taipei City and New Taipei City.

 

Main accountabilities but not limited to the following: 
People resourcing
•    Assisting in the recruitment of teachers and young learner assistants to meet the operational needs of teaching centers.
•    Managing the procurement of work permits and completion of visa applications.
•    Establishing efficient processes to collaborate with the in-house or outsourced payroll provider for the collection, verification, and approval of monthly pay claims and other adjustments.
•    Organizing inductions, conducting high-quality training for the young learner assistant team, and ensuring quality through observations and coaching.
•    Supporting the daily management of teaching schedules to arrange class coverage in cases of teacher sickness.
Service and product delivery support
•    Providing a variety of administrative and customer services in accordance with established corporate procedures to optimize quality, consistency, and efficiency.
•    Ensuring that student registration and re-registration processes adhere to corporate policies, supporting effective teaching, learning, and service standards.
•    Maintaining accurate records (e.g., customer and financial data) that comply with corporate requirements.
•    Offering logistical support within the teaching centers and assisting in the execution of internal and external activities to ensure their seamless and efficient operation.
Risk and compliance
•    Understanding and adhering to risk management procedures relevant to teaching delivery (e.g., safeguarding, security policies, financial protocols, anti-fraud measures) to protect the interests of the British Council and its customers at all times. Highlighting to senior managers any instances of non-compliance.
•    Effectively managing relationships with external licensing authorities, including compliance with reporting requirements.
•    Ensuring that staff data in corporate systems and off-system spreadsheets is managed in accordance with corporate policy and local legislation, including data maintained on the Department of Education website.
Managing self and others
•    Planning and prioritizing own work activities, adapting to changing requirements to ensure the effective delivery of responsibilities within a daily/weekly timeframe.
•    Assigning and coordinating tasks for others (e.g., internal colleagues or external suppliers) to ensure efficient service delivery within established procedures.

Requirements:
•    Good written and oral communication skills in English and Chinese.
•    University degree

 

Role specific knowledge and experience:
Minimum/essential
•    Previous experience in an operational support role.
Desirable
•    Experience in supporting recruitment processes and payroll


Further Information 
Pay Band –  J (basic salary + performance bonus, depending on qualification and experience, negotiable)
Contract Type – Indefinite
Location – The job requires the individual to work across teaching centers in Taipei City and New Taipei City
Other Requirements 
– As we cannot sponsor work passes, applicants must already have the right to live and work in Taiwan.
– The successful candidate will work a 5-day week which includes evenings, Saturday and/or Sunday.
