Job Description:

We are a fully integrated global law firm with a presence across five continents and more than 40 offices. Our Taipei office is currently seeking an Administrative Manager to support the Director of Administration in overseeing the day-to-day operations.
 

Key Responsibilities:

  • Assist the Director of Administration in financial management tasks such as budgeting, variance analysis, billing, and collections. "No need Professional Finance/Accounting Experience; the role will support these"
  • Manage facilities by liaising with building management and overseeing vendor relations for office supplies, furniture, and equipment.
  • Supervise non-exempt support staff, coordinate workflow, and manage staffing.
  • Monitor timekeeping, review inventory, and prepare financial reports.
  • Conduct operational audits, manage records and library, oversee telecommunications and computer systems, and support litigation activities.
  • Handle staff personnel matters in compliance with employment laws and coordinate with HR Business Partner.
  • Provide interim support to lawyers and assist in performance management, salary planning, benefits enrollment, and recruiting.
  • Undertake any other duties to ensure efficient support to lawyers and clients.
  • Assist in organizing events for the Taipei office.

Candidate Profile:

  • Bachelor's degree in a business-related field preferred.
  • Minimum of 5 years of office management experience with expertise in accounting/bookkeeping, personnel management, and technology systems.
  • Proficiency in mathematical and accounting concepts.
  • Strong analytical skills and ability to follow instructions.
  • Excellent interpersonal and communication skills in both Chinese and English.
  • Adaptability to changing work environments.
  • Strong organizational and planning abilities.
  • Experience in managing multiple priorities in a demanding setting.
  • Proficient in Windows and Microsoft Office Applications; familiarity with law firm billing and HR systems is advantageous.
