Secretarial Function
- Provides high-level adminstrative support and assustance to General Manager.
- Performs clerical and administrative tasks including maintaining agenda, scheduling appointments and meetings, drafting letters, memos, reports, and other documents.
- Coordinate business trip / travel arrangement for GM, and regional senior management team.
- Receives incoming communication or memos on behalf of GM, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Claim and keep record of GM's travel expenses timely and accurately.
- Arrange seasonal greeting gifts (cards, moon cakes, etc.) for trade partners.
- Handle and prioritize outgoing or incoming correspondence (phone calls, e-mail, letters, packages etc.)
- Act as a contact window by liaising with outside parties and coordinating with internal functions/departments.
- Performs duties and projects as assigned by GM.
Office Administrative Services
- Lead / coordinate company events and support operations and logistics when required.
- Responsible for event preparation, including annual meetings, townhall meetings, teambuilding, training, etc.
- Coordinate cross-functional activities to ensure efficiency and accuracy.
- Manage PO application and ensure purchase process is complied with company's guideline.
HR Administrative Support
- Onboarding and offboarding
- Interview arrangement
- HR-related payment
