The Executive Secretary plays a critical role in ensuring the smooth functioning of the Management Team by providing administrative support, managing schedules, handling confidential documents, and assisting in various financial and operational tasks. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Executive Secretary will work closely with the finance team and other departments to ensure effective communication and efficiency within the organization.

Responsibilities:

  1. To work with the executive leader(s) to better facilitate external / internal communications.
  2. To be responsible for the meeting arrangements with important stakeholders.
  3. Maintain meeting minutes for internal & external meetings, and initiate follow-up conversations with different departments.
  4. Prepare executive's documents for internal / external meetings purposes, and provide insights on the specific topics.
  5. Prepare, prioritize, and coordinate meeting agendas, presentations, and other documents for meetings.
  6. Handle travel arrangements, including flights, hotels, and transportation, and prepare itineraries for business trips.
  7. Prepare, review, and proofread reports, presentations, and other documents related to financial activities.
  8. Maintain accurate records of meetings, correspondence, and financial documents.
  9. Act as a liaison between executives, departments, clients, and stakeholders.
  10. Coordinate cross-departmental communication to ensure projects and tasks are completed on time.

Requirements:

  1. Fluent in English and Mandarin, ability to conduct business conversation in both language is preferred.
  2. Experienced in working with executives leaders, and able to prioritize the agendas for the leader(s).
  3. Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  4. Excellent organizational and time-management skills.
  5. Ability to manage multiple tasks and prioritize effectively.
  6. Strong written and verbal communication skills.
  7. High level of confidentiality and discretion in handling sensitive information.
