About the opportunity:

The Associate Project Manager will provide essential support to the Senior Project Manager, driving the successful execution of projects from initiation to closure. This role is crucial for maintaining project structure, ensuring clear communication, and managing all critical project documentation and meeting logistics.

Responsibilities
  • Project Coordination & Management Support
  • Assist the Project Manager in developing comprehensive project plans, including detailed work breakdown structures, schedules, and resource allocation.
  • Coordinate project activities and resources to ensure projects are delivered on time and within budget.
  • Monitor project progress and performance, tracking milestones, deliverables, and potential delays.
  • Support the management of the project budget, tracking expenditures and assisting with financial forecasting.
  • Meeting & Communication Management 
  • Take ownership of planning, scheduling, and coordinating all project-related meetings, including kick-offs, daily scrums, status updates, and stakeholder reviews.
  • Prepare detailed meeting agendas, circulate materials in advance, and facilitate meetings to ensure focused discussions and actionable outcomes.
  • Capture, compile, and distribute comprehensive meeting minutes, action items, decisions, and risks to all relevant parties promptly.
  • Serve as a central point of contact for project team members and internal stakeholders, ensuring clear, consistent, and timely communication across the board.
  • Documentation & Data Control 
  • Responsible for organizing, compiling, and maintaining all critical project documentation, including but not limited to: status reports, decision logs, risk registers, issue trackers, and change requests.
  • Ensure all project files and documentation repositories are accurately updated, version-controlled, and accessible to the appropriate team members and stakeholders.
  • Support the Project Manager in preparing presentations and materials for management and executive-level reviews.
Requirements
  • 1-3 years of professional experience in a project-related role (e.g., Project Coordinator, Project Administrator, or Associate Project Manager).
  • Proven track record of successfully managing meeting logistics, documentation, and information flow for complex projects.
  • Proficiency in project management software -JIRA and productivity tools (e.g., Microsoft Office Suite, Google Workspace).
  • Excellent verbal and written communication skills in English, with a focus on clarity and professionalism.
  • Exceptional organizational skills, attention to detail, and the ability to manage competing priorities simultaneously.
  • Demonstrated ability to work collaboratively and effectively within cross-functional teams.
  • Knowledge of standard project management methodologies (e.g., Agile, Scrum, Waterfall).
